How can I save on registration?
- Register Early
Register by 6 March 2008, to save up to €405 on your congress and pre-congress fee and increase your chances of reserving the most popular ticketed sessions and best hotel accommodation.
- Register Late
Register between 7 March and 22 August 2008, to save up to €205 on your congress and pre-congress fee and increase your chances of reserving the most popular ticketed sessions and best hotel accommodation.
- Save as a Student
Send your up-to-date student card.

Register before 6 March 2008, to save up to €390 on your congress and pre-congress fee.

Can I register online?
Yes. Register today!
If your registration is successfully submitted, you will receive registration submission acknowledgement online and via e-mail. This message is not a confirmation letter; it acknowledges your request to register, not an actual registration. Your registration will be processed by ESTRO staff within 48 hours.
What are accepted forms of payment for registration?
You can pay with MasterCard, Visa and American Express. You can also pay through Bank Transfer (remember to add €15 for handling fees). No bank transfer will be accepted after 20 August, 2008. We don’t accept purchase order, money order, or cheque.
With a credit card or Bank Transfer, you may register online.
How long does it take to receive a registration confirmation letter?
Confirmations will be posted by mid August. If you register after 15 August you should receive your confirmation letter 10 business days after the processing date of your registration.
Is there a registration deadline?
- Early Registration before 6 March, 2008
- Late Registration from 7 March, 2008
- Desk Registration from 23 August, 2008
If I am unable to attend, what is the cancellation policy?
In case of cancellation up to 3 months before the congress, you can request a full refund of the registration fee minus handling charges of 15%. Between 3 months and 1 month before the congress, the refund will amount to 50% of the fee. No refund will be possible if the cancellation is postmarked after 14 August, 2008.
Can I earn academic credit for attending?
CME accreditation has been applied for.
When will I receive my programme book and name badge?
A programme book, abstract book and other congress material, along with a name badge will be given to all registered participants at the registration desk onsite.
Can I bring a family member to the congress?
Yes. If your family member wants to participate in the congress social programme, reception, and coffee breaks, we ask that you register him/her (name/last name) and pay the registration fee for the accompanying person (€125). The accompanying person will receive a badge onsite, which should be worn throughout the venue for security purposes.
Can I attend only one day of the congress?
Yes. View fees.
Can I attend only the technical exhibition?
Yes. The fee is €80.
What is the dress code for the congress?
Business casual.
When will I get my certificate of attendance?
Certificates are delivered on site at the registration desk. There will be two certificates; one for the congress and another for the pre-congress courses. Attendees will have to complete an evaluation form. Certificates will also be available online after the congress.
What is included in my registration fee?
Your registration fee includes a place at the congress, congress bag with the programme book, abstract book, name badge, social event invitation and free public transportation pass.
I have to cancel my participation to the congress. Can a colleague attend in my place?

How can I add/cancel one of the activities in my registration?
E-mail the name of the activity you wish to add or cancel to the following e-mail address: estro27@estro.be
At what time should I arrive at the congress?
If you have already registered and do not have a balance due, you you should aim to arrive at the Convention Centre an hour or so before the congress starts. If you are going to register on-site, or if you have a balance due, you should try to be there one-and-a-half hours before the congress begins.
Will I get a receipt for my registration fee?
For online payments you will receive a certificate of payment online. By request, we can send you an invoice by mail.
What if I need a travel visa to attend the congress?
You are responsible for checking your own visa requirements. If you require a visa to enter the country where the congress is taking place, you should contact your local consulate or embassy. If you are a confirmed participant and need proof of your registration to obtain an entry visa, please contact estro27@estro.be for assistance.
When can I pick up my badge?
You can pick up your badge from Saturday 13 September, when registration opens.

Where and when can I order delegate badges?
One month prior to the congress, the badge booking service will be online.
How and where can I collect the badges?
Badges can be collected at the exhibitor information desk at the entrance to the exhibition hall. Before collecting your badges do not forget to confirm your order (see paragraph above), otherwise your badges cannot be printed. Prior to the congress you will receive an email indicating within which timeslot you can pick up badges. Please try to respect this schedule.
Where can I find the exhibition manual?
Your manual will automatically be emailed to you as soon as you have confirmed your booth booking. Should you wish to receive a hard copy, you can fill out an order form and it will be sent to you. You can also download it from this website as soon as your participation has been confirmed by the organiser.
What if I have problems logging in?
- I can’t find my webID and password
The account manager of the corporate page on the ESTRO website should have your webID and password. If not, contact stine.bomholt@estro.be who can either find it or create a new one.
- My webID and password doesn’t work
The system is case sensitive. Try to copy-paste the webID and password directly from the confirmation email you received when becoming an ESTRO corporate member.
Can delegates participate in the scientific sessions?
Yes. A delegate badge gives access to all the scientific sessions, coffee breaks and lunch breaks. A ticket to the social event organised by ESTRO on Wednesday 17 September must be purchased individually.
Do company delegates receive a congress bag?
Each company will receive one congress bag.
